Rental Policies

Responsible Party

We cater to families, and regretfully, no person less than 25 years of age will be permitted to register. Bookings for fraternities, sororities, vacationing student groups, or parties are not allowed under any circumstances. Reservations made under false pretenses will be subject to forfeiture of all deposits and rent and your occupancy will be terminated. All fees, charges, and applicable taxes associated with the property rental are the responsibility of the renting party.

Booking Confirmation & Rental Payment

All reservations require a full payment (100% of booking fees) to hold chosen dates.

Cancellations and Refunds

Cancellation of this reservation may result in a cancellation fee.

No fees will be refunded if you are cancelling for a Major Holiday or Event (e.g Christmas, Celebrity Golf Tournament, SKi Week etc…) you must do a cancellation WITHIN 60 days of arrival date or all rental payments will be forfeited.

PAYMENT AND APPROVAL INFORMATION

Approval Requirement: You must be 25 years of age or older and an Occupant during the entire Term Booking Online: By booking your reservation online, Occupant acknowledges that Occupant has read, understands, accepts and has received a copy of this Agreement in its entirety Payments: Occupant may make payments through the listing site or directly through Lessor. Occupant expressly authorizes Lessor to charge Occupant for fees and services set forth herein that have not been paid to the listing site. All payment(s) shall be non-refundable unless otherwise expressly provided herein.  Depending on the time of year, minimum night stay requirements can range anywhere from 2 nights (during off seasons), 3 – 7 nights (regular seasons) to 3 – 10 nights (Christmas/New Year’s Holiday).

Pricing

Reservations are confirmed at the rates in effect on the date the booking is made. We reserve the right to correct oversights, omissions, and clerical errors. In the event an adjustment of this nature increases the cost of your booking, you will be given the option to accept the revised reservation or terminate it with no penalty.

Tax Rate

The current tax rate is between 12.0% and 14% in the City of South Lake Tahoe, 14% for Douglas County outside city limits and 14% in El Dorado County.

Property Use & Responsibility

You become responsible for the security of the rented home-condominium and all of its contents upon check-in, and remain responsible until you vacate and complete the check-out at the conclusion of your stay. The rental property is inspected and its contents inventoried prior to each guest arrival. You are financially responsible for any and all losses or damage due to your occupancy and while in your possession

“Owner/Manager reserves the right to cancel this reservation should the property be removed from the vacation rental market. If this is the case, a full refund will be issued, and every effort will be made to locate a suitable replacement property.”

Your rental home or condo is to be used as a personal vacation rental residence only.  You shall not assign or sublet said premises or any part thereof.  You agree to abide by all municipal and local rules and regulations and all homeowner association covenants or conditions pertaining to this rental unit.  Failure to comply with these rules and regulations shall be cause for our termination of this agreement.

Guest Responsibilities

Our homes are privately owned and may only be used as a private vacation residence. Large gatherings, tours, events, parties, photo shoots, media use or any other commercial use are not permitted unless otherwise agreed by us in writing. The home must not be used for any illegal purposes and all guests must conduct themselves in a manner that will not disturb the neighbors’ peaceful enjoyment of their homes. The responsible guest for any booking must be at least 21 years old; there may be higher age restrictions in certain locations. We reserve the right to confirm the name, age and address of everyone in your party before or after confirming your booking. Any booking obtained with false information will result in forfeited payments and eviction.

Each of our homes will have established instructions and policies (the “House Rules”) provided in the home or electronically. The House Rules may cover issues such as proper trash handling, neighborhood rules, safety regulations, check out procedures, parking, and restricted owner areas in the home. All guests agree to abide by the House Rules which may change from time to time. You agree to uphold all local laws, including but not limited to noise restriction and occupancy rules or ordinances enforced by us or the local authorities.

To protect guests and neighbors, we may use smart home technology to measure volume levels in many of our properties. This technology allows us to respond to noise nuisances without disrupting your stay. Any violations by you or your guests are your responsibility. Any disturbances which result in a call to us from a neighbor, a visit by law enforcement or us may result in a minimum $500 charge to your credit card in addition to any law enforcement fines.

Illegal firearms, substances, explosives or fireworks are not permitted at any Tahoe VHRs homes or locations. For your safety, homes that are equipped with grills must be used outside in non-covered areas, and must not be moved from their current positions. You must adhere to any local burn bans or advisories. We reserve the right to not welcome back any guests who violate the House Rules or any provisions of this rental agreement.

Refundable Deposit

Price per home varies. Our prices are $500, $750, $1000, $1500.00 will be required depending on what home your rent. The full amount is due at the time of booking your vacation rental and your signatures and return of rental agreement. The damage deposit required is payable by Visa Mastercard ONLY. When you have paid the full damage deposit, it will be refunded within thirty (30) days following your stay if no damage is sustained and all other financial obligations have been met. However, you will be responsible for any damage and repairs presented subsequent to the return of your deposit. We highly recommend purchasing travel insurance through our rental experts should cancellation be a possibility.

Occupancy Limitations – Each rental property has specific occupancy limits and rules of conduct which must be strictly enforced. The number of adults, minors, and pets that will occupy your rental home must be stated at the time of booking. Property lines, privacy, and the quiet enjoyment of neighbors must be respected at all times, with “quiet hours” observed between 10 PM and 7AM each night. Increased occupancy, vehicle traffic, excessive noise, or illegal activity, will result in a $500 penalty fee, eviction, and the forfeiture of all prepaid rentals.

Pets

Unfortunately all of our homes have a No Pet policy that is strictly enforced. Any guest found in violation of this policy will be required to vacate the premises without a refund. A limited number of our homes allow for Service animals and ESAs, please read “Service Animals/ESAs” below.

Housekeeping

Each home is thoroughly cleaned between guests. The cleaning fee is not included in the rental fee. It is charged separately. If you wish more frequent cleaning during your stay, additional housekeeping may be scheduled at an additional charge.  

Excessively littered and/or dirty conditions at check-out will result in extended housekeeping hours, and will be charged to your security deposit, or, if none tendered, to the credit card used to pay for your occupancy. Should it be necessary to clean carpets, remove stains, repaint, repair finishes, or replace furnishings, textiles, or house wares, you will be charged for labor, materials, and merchandise, plus a 20% service and handling fee.

You are responsible for the proper use and operation of all appliances and fixtures within your rental home and to keep it in the same clean condition. You are responsible for, and will be charged for, any repair or replacement expenses that results from failure to comply with these stipulations. You are responsible for, and will be charged for, any elimination of drain blockages caused by improper use of plumbing fixtures.

Additional Services

Additional service for personal laundry, dishwashing and/or additional cleaning services can be arranged through the Tahoe VHRs Vacation office 775-848-7018 at a rate of $38/hour. If the property manager is called for non-emergencies, there will be a charge of $65.00/hr.

No Smoking

Smoking on the premises of any vacation rental home is prohibited. If tobacco odor is noted on check out, a $500 penalty charge will apply in addition to additional cleaning and fumigation costs. 

Structural and Environmental Precautions

Renters are advised that many homes have, or are in proximity to, structural or environmental circumstances that could pose physical hazards. These may include, but are not limited to, rocky terrain, deep water docks, hot tubs, steep slopes, cliffs, interior and exterior stairways, terraces and decks, slippery conditions, fireplaces, sharp objects, noxious plants, and insects. We request that you ask our reservation department about specific hazards prior to booking. Do not book a home if you believe there may be a condition that poses an unusual risk to any member of your party. You hereby release the owner and the rental agency from all personal safety risks and liability associated with the property you rent.

Amenities

All homes are furnished with towels, bed linens, and a small supply of paper products and soap. Please review the additional amenities provided in the home you reserve and contact us for additional information.

Telephone Calls

When telephone service is provided, local telephone calls are free. Be aware that cell phone coverage may not be available at all homes.

Check-in

You may check at any time after 4 PM on the date of your arrival. Keys or key code access, driving directions, emergency contacts, and check-out information is provided either prior to your arrival via e-mail or upon arrival depending on the location of the home you have reserved.

Following check-in, it is essential that you notify us promptly if anything seems amiss at the home. Also, it is important that you review the information binder provided in each home, as it contains important property details, operating instructions, emergency procedures, and an inventory of contents. DO NOT operate hot tubs, televisions, or electronic devices until you have reviewed the associated instructions. Improper operation may impair performance or reception and result in a chargeable service call.

Check-out

On your check-out day, the premises must be vacated by 11 AM Because of our turn around time we can not grant a late check out. In the winter, please turn down the heat to 55 degrees. DO NOT TURN THE HEAT OFF!

DEPARTURE REQUIREMENTS:

1. Load the dishwasher with all soiled dishes and run the wash cycle.
2. Make sure all garbage is removed and the trash compactor is emptied. Garbage is to be deposited in the container provide for the home. Please follow in home instructions. Each of our homes are different.
3. Place all deck chair cushions in their respective places inside the house.
4. Check all windows and doors and make sure they are locked and secured properly including back deck sliding doors.
5. In summer months, place the thermostat on 70 degrees and 50 degrees in the winter months. If excess usage you will be charged an additional fee.
6. Return all towels, you will be charged $15 for each missing towel.
7. Use the provided grill scraper/brush to remove remaining food after grilling. If provided, return grill cover to secure.
8. Remember to sign the guest book and return the keys to the lock box, you will need to punch the code in and then put keys in location.
9. PLEASE DO NOT MOVE ANY FURNITURE OR MATTRESSES.

Hold Over

If you cause an unauthorized hold over of your rental unit, you will be charged one and one-half times the daily prorated rent, plus any additional damages incurred including, but not limited to, the cost of alternative housing for an incoming guest displaced by such hold over.

Personal Property

All personal property you bring to the premises shall be your responsibility and we are not liable for any damage to or loss of such property. We are not responsible for any personal items left in the unit upon vacating and such items can only be returned by shipment at your expense.

No Right of Storage

No boats, jet skis or other recreational vehicles may be stored on the property at any time. Use of garages is normally not included in individual homes. In condominium units, if garage use is provided, it is limited to parking personal vehicles only and you may be required to share access to the garage. Not all units will provide off street parking. We are not liable for damage to or loss of any vehicles whether stored in parking garages, on the street or in driveways of any units. Most garages, if provided, have a height limit of six feet.

Keys and Key Codes

Many of our homes have electronic door codes to access your home, other homes have keys which will be in a lock box attached near your door. The combinations or door codes will be provided as soon as your account is paid in full. 

Key Return

If all provided keys are not returned at check-out there will be a $50.oo charge per key for any keys NOT returned. If concerns for property security make it necessary for us to immediately re-key the home. You will be charged $150.00 to re-key the home. You agree to not duplicate keys provided, or to change locks at any time.

Right of Access

You will allow the unit Owner, TahoeVHRs or our vendor access to the unit for inspections and/or repairs with a two hour notice. In the event of an emergency we or the unit owner has the right to enter the unit without notice for the purpose of emergency repairs.

Hold Harmless 

TahoeVHRs assumes no liability for loss, damage, or injury to guests or their personal property. You hereby fully release and discharge TahoeVHRs from all claims, damages, or causes of action by reason of any injury or other cause, and hold TahoeVHRs free and harmless of any claim or suit arising from you or any other guest in connection with the occupancy of the premises. In any action concerning duties or liabilities of the parties, you agree to the venue in the County where your occupancy occurs and the prevailing party will be entitled to recover reasonable attorney fees and costs.

We accept no liability for stoppages of transportation, utility services, inclement weather conditions, or natural disasters that may occur before, after, or during a vacation home rental period, nor can we be responsible for any other conditions beyond our control. These conditions include, but are not limited to, appliance or mechanical failure, cable/satellite TV, loss of Internet access if provided, or any other such event.

If any provision of this agreement is held invalid, such invalidity shall not affect the enforceability of any other provision of this agreement. You remain responsible for any damage, repair, or replacement expenses exceeding the amount of Security Deposit you may otherwise provide.

Service Animals/ESAs

* We have strict and enforced guidelines for those who wish to bring their Service Animal/ESA:

• A Service animal/ESA staying on our property is NOT allowed to be left in the home alone at any time during your stay. This means not even being left alone in a crate. You must take the animal with you anytime you leave the house.

• The guest remains liable for any and all damage caused by a Service Animal/ESA.

• You and your Service Animal/ESA will be asked to leave if we discover misrepresentation of a pet as a Service Animal. We will report fraudulent claims of Service Animals to government authorities and will evict the guest(s) without further notice in such cases. If this occurs, there will be no right to a refund.

Below are some rules so that both your stay and that of our guests after you will be enjoyable and relaxing:

• Your Service Dog/ESA may not be left unattended. (Crating and leaving the animal in your absence is not permitted; the animal must accompany you AT ALL TIMES).

• Please provide an advanced copy of your Service Animal/ESA’s rabies vaccine as well as a vaccination record showing all current vaccinations are current throughout your stay to insert your email.

• Your Service Animal/ESA must be on a leash at all times or under control of verbal or sight commands that they follow at all times.

• We will ask you to remove your Service Animal/ESA if the animal is out of control and the animal’s handler does not take effective action to control it or if the animal is not housebroken.

• Please walk your Service Animal/ESA for bathroom needs. Indoor piddle pads are not allowed.

• Please clean up urinations/defecations immediately. Bring your own baggies and dispose of them in the large green trash cans OUTSIDE

• Service Animals/ESAs may not be on furniture (sofa, chairs, bed, or counters unless it is specifically needed for your disability.

Regarding service animals and ESA’s:

• Local ESA rules make clear that in order to have a valid emotional support animal, the tenant must possess documentation from a licensed health care practitioner stating the animal is required.

• All ESA owners should understand that a mere certificate, ID or registration bought online will not be enough to properly qualify their animal companion as an ESA.

• At check-out, a walk-through will be done to ensure pets have not urinated or defecated in the home (clean it up if they have). Even the best pets/animals get nervous away from home. Any excrement/urine/stain/damage left will result in forfeiture of the deposit.
